UK Digital Forensics Firm Achieves 56% Efficiency Gain after Digitising Quality Management with SoftExpert QMS

Managing quality documentation at scale is rarely simple. As organisations grow and regulatory requirements evolve, maintaining control over hundreds of procedures, records and approvals becomes increasingly difficult, particularly when processes rely heavily on manual systems.

SYTECH, a long-established UK consultancy specialising in digital forensics and Cyber security, faced this challenge. Over time, what began as a small document library expanded into a quality framework containing nearly 1,000 controlled documents.

Managed through manual processes, the system placed increasing administrative pressure on the Quality team, particularly in document updates, reissues, withdrawals and version control.

Operating under standards including ISO/IEC 17025, FSRCoP, ISO 9001, ISO 14001 and ISO 27001, SYTECH recognised the need for a more structured and scalable approach to quality and compliance management.

Building the Foundations of a Digital QMS

To address these challenges, SYTECH began the transition towards a digital Quality Management System (QMS), selecting SoftExpert Suite as the platform to support the transformation.

The decision was driven by the platform’s ability to provide strong governance, flexibility and scalability, while also supporting the regulatory complexity of SYTECH’s operating environment.

Rather than attempting a full transformation in one step, the organisation took a structured approach, beginning with document control, widely recognised as the foundation of any robust management system.

Moving from a manual QMS to a validated digital environment within an ISO/IEC 17025 framework required careful planning. The validation process itself was detailed and extended over several months, ensuring the system would meet both operational and regulatory expectations.

“The validation phase was detailed and took several months to complete, but it was successfully accepted during our recent UKAS assessment without findings, which gave us confidence in the robustness of the system”, says Neil Buck, Quality Manager at SYTECH Consultants.

Moving Beyond Digitisation

For SYTECH, the transition has not been about simply digitising existing processes.

Each stage of implementation has been used as an opportunity to review legacy workflows and identify areas for improvement. This approach ensures that the organisation is not simply replicating old habits in a new system but instead building a more effective and sustainable operating model.

Following the successful implementation of document control, SYTECH is now progressing with the phased rollout of additional modules, including:

Several of these processes are currently being configured and tested, ensuring they are fully aligned with internal governance practices before full deployment.

Early Results and Measurable Impact

The most immediate improvement has been within the Quality Department, where the administrative burden associated with document management has been significantly reduced.

Tasks that were previously repetitive and time-consuming are now structured and easier to manage through the platform’s automated workflows and controls.

Based on SYTECH’s internal assessment, the organisation has already achieved efficiency savings of up to 56% in administrative activities related to quality management.

The system has also introduced a new level of visibility and transparency. Dashboards and reporting tools now provide teams with a clearer view of ongoing activities, document status and system performance. This visibility supports both operational oversight and informed management decision-making.

Traceability, once one of the most challenging aspects of the manual system, has also improved significantly. Document histories, approval paths and version changes are now centrally recorded, providing a far clearer audit trail.

SYTECH’s Quality Management System supports multiple standards and regulatory frameworks, including ISO/IEC 17025, ISO 9001, ISO 14001, ISO 27001 and the FSR Code of Practice for forensic science activities, with accreditation from UKAS. SoftExpert QMS provides a controlled and traceable environment for managing documented information, workflows and approvals, supporting the organisation in maintaining these accreditations & certifications while ensuring consistent governance across its compliance processes.

Strengthening Audit Readiness and Collaboration

Although the broader rollout is still underway, SYTECH is already seeing positive signs in areas such as audit readiness.

Previously, document version control and audit traceability were managed manually through spreadsheets and supporting folders. While that approach worked in the initial stages, it became increasingly difficult to maintain as the document suite expanded, and templates evolved over time. That created opportunities for administrative error and inconsistency.

“With SoftExpert, version control is now far more structured, visible, and reliable. The platform has removed much of the manual burden and provided a clearer level of control over document history, issue status, and traceability,” explains Neil.

The organisation is also currently testing its nonconformance management process within the platform. Once fully implemented, this will provide a connected workflow that supports the entire lifecycle of a nonconformity, from identification and investigation through to corrective action and closure.

Integration with action plans is expected to strengthen CAPA management by improving accountability, follow-up, and traceability.

Another benefit emerging from the new system is improved cross-functional collaboration. By bringing quality-related processes onto a shared platform, teams across the organisation now have better visibility into activities that were previously managed in isolation.

As more modules are implemented, this collaborative advantage is expected to grow.

A Platform for The Future

SYTECH has also embraced the platform within a cloud-based environment, a crucial step for an organisation operating in a sector with high security expectations.

While cloud adoption can represent a cultural shift, the long-term benefits are becoming increasingly clear. The platform creates a solid foundation for future scalability, improved governance and continued digital evolution.

“A cloud environment gives us a stronger foundation for future growth, better system governance, and the ability to expand capability in a more structured and sustainable way as the organisation evolves,” adds Neil.

As the organisation continues to embed additional capabilities within SoftExpert Suite, further improvements in efficiency, compliance and operational visibility are expected.

For SYTECH, the transition from a manual, spreadsheet-driven system to an integrated digital platform represents more than a technology upgrade.

It marks the beginning of a more structured, transparent, and scalable approach to quality management, one designed to support the organisation’s growth while maintaining the high standards demanded by its regulatory environment.
