BairesDev is a global IT and software engineering company, known for its innovation and collaboration with pioneering startups, disruptive companies and Fortune Global 500 giants like Google and Johnson & Johnson. With headquarteres in San Francisco, California, the company has operations around the world. Their presence in California is strategic, given how important the region is for the technology and innovation sector.
With more than 4,000 software engineers in 50 countries, the company faced the challenge of optimizing its internal processes — and that's how they discovered SoftExpert.
Growing at a rapid pace, BairesDev, one of the world’s largest IT and software engineering companies, faced a common challenge for organizations in fast expansion: the need to plan, standardize, and scale processes efficiently. “As we grew by 100% in a short period, we realized it was crucial to upgrade and structure our processes to keep up with the speed of our business,” explains Santiago Leonardi, Process Governance Manager at BairesDev.
In search of the ideal solution, BairesDev launched a rigorous vendor evaluation process, aiming to find a tool that could not only meet their immediate demands but also scale to support new areas.
“We developed an MVP and presented the challenge to various vendors. That’s when we found SoftExpert. SoftExpert Suite not only met over 90% of the MVP requirements but did so in record time, standing out as the ideal choice,” Leonardi recalls.
With the decision made, BairesDev embarked on an ambitious project to consolidate multiple processes and systems into a single environment. Implementation began in February 2023, and since then, more than 20 critical processes have been integrated into the platform. Among these is the hiring process, now 100% digital—from collecting personal data to signing contracts via DocuSign, all seamlessly integrated into SoftExpert’s document management module.
“Previously, we had manual tasks prone to errors and an outdated repository that didn’t meet our needs. Now, we’re controlling and measuring more information than ever before,” Leonardi adds.
The results have been game-changing. In addition to streamlining hiring processes, the company has migrated client contract management, development documentation, customer NPS, and more, all integrated into SAP. These improvements have led to over $1 million in savings in less than two years, delivering an impressive 1000% ROI.
“We achieved these savings by eliminating licenses for other software, optimizing execution times, and shortening processes that were previously impossible to automate.”
Looking ahead, BairesDev is just getting started. The company is already implementing new modules for risk management, aligning with ISO 27001 requirements to ensure greater information security. Additionally, there are plans to further centralize interactions and processes that directly involve clients.
The company’s goal is to monitor process health, generate proactive alerts, and identify bottlenecks before they become issues. By 2025, the expectation is that the results will be even more meaningful, directly influencing the company’s revenue.
