Copapel, one of Brazil’s leading suppliers of professional hygiene and cleaning products and services, has been operating in the market for 45 years through eight units located in the states of Santa Catarina, Paraná and Rio Grande do Sul.

Integration for ISO Certifications

Wagner Paim, Copapel’s Integrated Management System Manager, explains that with eight units in southern Brazil and operations across all states, the need for a more robust solution was clear, especially considering the company’s goal of obtaining ISO 9001 and ISO 14001 certifications. “We needed a system that could integrate with other software and ensure that all our branches would benefit from the improvements while respecting the company’s language and culture,” he recalls.

Process Structuring

Paim explains that SoftExpert Suite was chosen for providing powerful tools to enhance Copapel’s processes. “We saw that the platform offered the strongest features to support the company’s Quality and Sustainability initiatives, delivering an intuitive environment with integrated components, support for multiple standards and certifications, and the ability to implement improvements uniformly across all units,” he says.

Today, SoftExpert Suite is widely used for indicator control, contract and asset management, action plans, surveys and training across the Purchasing, Operations, Sales, IMS, IT, HR, Finance and Marketing departments, all of which access the information through personalized portals.

The solution also strengthened the company’s human development efforts. Through the Marketing department, Copapel structured its training management process and created EAD Copapel, a learning platform that has played a major role since implementation. It brought all video training resources together in one place, making access easier for employees and improving knowledge sharing on products, suppliers and more.

Efficiency and Performance Gains

Through integration with SAP, the Purchasing and Sales teams can now access strategic information anytime, anywhere, and in a personalized way.

“Previously, our sales representatives received their reports every 15 days in spreadsheets. Now they can view their sales, commissions, order statuses, scheduled service orders and other information in real time,” Paim explains.

The time spent analyzing records was also reduced from 24 hours to just three, resulting in an 87% performance improvement. In addition, with SoftExpert Training, all employees can complete their training online, regardless of location or time. A total of 279 courses are available in the tool, and 1,596 training sessions were completed within the first 16 months of implementation.

According to Paim, the company is now experiencing a new model of information management, with standardized processes, fewer reworks, more effective communication between teams and employees, streamlined analyses and faster response times for customers and suppliers.
