Challenge
Unimed Porto Alegre faced significant difficulties due to a lack of automation and integration in its management. Indicator management was handled by two different systems, leading to increased workload and time consumption for the business area in verifying information and developing action plans. Controlling activities defined in action plans was challenging as systems did not generate alerts or pending items. Project management was not automated (except in IT), and process management was individualized by area, without system support for modeling and publishing processes.
The Solution
To overcome these challenges, Unimed Porto Alegre automated and integrated process, project, and ANS regulatory compliance management with SoftExpert GRC (Governance, Risk, and Compliance). This flexible solution, which provides autonomy in system parameterization and performance management from strategic to operational levels, adhered to Unimed’s management systems and standards. The implementation was swift and efficient, preserving data migrated from previously used systems.
SoftExpert GRC comprises various integrated components: SE Action Plan (action plan management), SE Audit (audit management), SE BI (Business Intelligence), SE Document (corporate document management), SE Forms (form management), SE Incident (incident management), SE Performance (performance management), SE Problem Manager (problem management), SE Process (business process modeling and management), SE Project (process and service management), SE Risk (risk and control management), SE Time Control (activity control), and SE Workflow (process automation and management). These tools standardize processes and improve organizational management, facilitating decision-making and the adoption of more suitable routines.
The Results
The implementation of SoftExpert GRC brought transformative results for Unimed Porto Alegre, increasing control and process reliability. With the solution, real-time data retrieval became possible, along with more organized and efficient indicator monitoring.
Denise Escobar, Administrative Analyst, highlighted:
“To achieve the goal established in strategic planning, a management system with precise and secure information is necessary. With SoftExpert GRC, we can present categorized indicators within the business area, as well as develop standardized action plans, monitor the implementation of these plans, and evaluate their effectiveness. This creates a competitive advantage for the cooperative, as we are constantly monitoring our processes.”
Fernanda Carvalho da Silva, Cost Specialist, observed:
“We now have all indicators broken down from the strategic map, being able to identify where each indicator contributes to achieving the cooperative’s results.”
Additionally, the solution enabled monitoring of indicators and management of structured actions to resolve goal deviations, management of area documents (such as SOPs), and verification of updates by work teams. Paula Morel, Cooperative Relationship Leader, summarized:
“SoftExpert GRC brought many benefits to Unimed POA, especially for leaders, who can now monitor the performance of their teams and area processes in a single location. Without a doubt, it has been one of the systems that has added the most value to Unimed Porto Alegre in recent times.”
With these results, Unimed Porto Alegre is better prepared to continuously improve its governance processes and implement SoftExpert GRC in risk management and identification.
