SoftExpert Suite centralizes 100% of operations management at Marquise Group, driving efficiency and enabling strategic decision-making

In recent years, Marquise Group has undergone a process of Cultural and Organizational Transformation, structured around four phases: structuring, growth, maturity, and transformation. This journey has been guided by the Advisory Board, which, year after year, defined strategic objectives and approved investments in technology, training, and new hires with the support of specialized consulting firms.

To sustain this evolution, five fundamental pillars were defined: methodology, processes, technology, people, and innovation. These pillars guided the development of a new organizational culture focused on efficiency, agility, and data-driven decision-making. The movement was consolidated under the Marquise Inova brand, which represents the transition to a digital environment and symbolizes the union between tradition and innovation.

In this context of transformation, the need arose for a robust, integrated tool capable of connecting multiple dimensions of management: results, risks, processes, projects, documents, and governance. The choice of the SoftExpert platform was strategic, as it provides a solution that integrates management processes within a single system, ensures reliability and structure in data and indicator monitoring, facilitates the tracking of action plans and goals, and enables faster decision-making aligned with the strategic objectives of each area.

Implementation of the Document Management Module: structuring quality management with efficiency and compliance

The implementation of SoftExpert Suite began with the Document Management module, a strategic choice driven by the need to maintain compliance with the Quality Management System certification requirements across several companies within the Group.

Before adopting the platform, document control was managed through spreadsheets, making the process prone to errors, approval delays, and difficulties in tracking revisions. With SoftExpert’s platform, it became possible to structure and standardize document management, ensuring greater agility in document approval, availability, and access, as well as enabling real-time monitoring of revision statuses and pending actions. This transformation brought more security, transparency, and efficiency to a critical quality management process.


Digitalization of goal formalization: efficiency, traceability, and scalability

The SoftExpert system was also adopted to modernize the process of formalizing individual annual goals. Before implementation, this control was managed through Excel forms printed for signature collection from managers and employees. At the end of the cycle, evidence of goal achievement was also printed, resulting in a large volume of paper and requiring manual control.

With digitalization through SoftExpert Suite, the form became electronic, allowing the workflow to automate submission for approval by leadership and peer managers. Supporting evidence is now attached directly within the system, eliminating paper use, improving management, facilitating audits, and expanding individualized goal formalization to more employees and companies within the Group. This change strengthens the performance-driven culture and contributes to a more agile, transparent, and scalable management process.


Results meetings with SoftExpert: greater efficiency, less paper, and enhanced analytical capability

With goals formalized directly in the system, Marquise Group also evolved its monthly results meetings (N Meetings), which are now conducted entirely within SoftExpert. Previously, these meetings were managed through PowerPoint presentations that required manual updates, data consolidation from multiple sources, and significant effort to record and track action plans.

The migration to SoftExpert Suite brought improvements in agility, reliability, and management efficiency. Indicators are now integrated directly with the Group’s performance systems, eliminating rework and ensuring real-time, up-to-date data. The digital environment allows employees to perform critical analyses of deviations, identify root causes with greater accuracy, and act efficiently in defining countermeasures.

In addition, the use of the meetings module enables the structured recording of all decisions, making it easier to monitor action plans and promoting greater transparency and traceability. As a result, Marquise Group replaced static presentations with a dynamic management environment that strengthens its results-driven culture and enhances data-based decision-making.


Automation of service requests: greater agility, integration, and quality in service delivery

Before implementing SoftExpert Suite, Marquise Group used an outdated service request system that no longer met the needs of support teams or requesters. Processes were poorly structured, making it difficult to monitor service delivery and compromising management efficiency.

With SoftExpert Suite, a complete review and automation of departmental processes were carried out, allowing service requests to be handled in a more organized, transparent, and measurable way. The platform now provides visibility into the services delivered, with indicators that make it possible to measure performance, monitor deadlines, and identify bottlenecks.

One of the major advances was the integration of processes involving multiple departments, enabling requests to follow a single, continuous workflow regardless of how many areas are involved. This improved the experience of internal customers, who can now track the progress of their requests more clearly and receive faster responses.

The result is more efficient and reliable management that strengthens accountability, raises the quality standard of internal services, and contributes to a culture of service excellence.


Expansion of SoftExpert usage: integrated management, efficiency, and standardization across the organization

In addition to the progress already mentioned, Marquise Group has been strategically expanding the use of the platform across several management areas. One of the highlights is the adoption of the Project module, which has transformed project management by eliminating parallel controls and enabling a clear, objective view of initiative progress, moving beyond the subjective perception of each department. As a result, projects are now monitored with greater accuracy, transparency, and strategic alignment.

“We have also advanced in automating the registration of nonconformities (RNCs), which were previously handled manually. Now, departments can record them directly in the system, and the notified areas can respond and take action within the same environment, promoting agility, traceability, and better management of corrective actions,” notes Francisco.

The system also began to be used for internal audits within the business units and for preparation ahead of external quality certification audits, providing a structured environment to demonstrate compliance, track action plans, and ensure continuous improvement.

Another important advancement was the expansion of portals for managing each department’s daily routine, consolidating all essential operational and management information into a single environment. Each portal gathers elements such as the department’s mission, goals, plans, processes, products, human and material resources, and assets like laptops, desks, and other items, creating a complete and structured record of each area.

These portals also include the SIPOC framework, which helps visualize each department’s suppliers, inputs, processes, outputs, and customers. In addition, all activity procedures for each area are available in the same environment, facilitating access, standardizing task execution, and promoting greater autonomy and operational efficiency.

Regular updates of this information are encouraged to ensure that the data accurately reflects the operational and strategic reality of each department. This structure strengthens standardization, transparency, and process-based management, while also making it easier to track goals and support decision-making. With these portals, Marquise Group continues to advance in consolidating a digital environment that connects strategy, operations, and organizational culture.

In addition, we are configuring the system to meet the needs of the risk management area, with the goal of structuring and integrating corporate risk management. This initiative will enable centralized recordkeeping, continuous monitoring of mitigation plans, and stronger governance, contributing to a more preventive, strategic, and goal-aligned approach across the Group.

These advancements reinforce Marquise Group’s commitment to standardization, digitalization, and management excellence, establishing SoftExpert as a strategic platform to support the ongoing organizational and cultural transformation.

With this solid foundation, the organization will be able to leverage the data generated within the system to implement advanced technologies such as data analytics, data science, and artificial intelligence. These capabilities will enhance decision-making intelligence, improve business performance, optimize processes, strengthen cross-department communication, and expand the company’s capacity for diagnosis and response.

The next phase of the partnership with SoftExpert includes expanding the platform to new business areas and creating the so-called “Digital War Room,” a strategic environment where real-time data connects directly to management, providing power, agility, and precision for critical decision-making.
