Ophthalmos

Founded in 1983, Ophthalmos began as a compounding pharmacy specializing in ophthalmology. At that time, the company’s goal was to compound formulas that had been withdrawn from the market, as well as specific formulations for the treatment of rare diseases. With advances in research and technology in the ophthalmology sector, Ophthalmos recognized the need to increasingly adapt to the evolving reality.

 


 

As a result, the company began developing new products, always upholding the quality, tradition, and technology that define its reputation. Along this journey, Ophthalmos became, for instance, a pioneer in the production of intraocular viscoelastics in Brazil.

What drove Ophthalmos’ transformation

"Today, companies in the corporate world are looking for tools that require less time for actions while providing greater control over their assets," says Roberto da Silva Gusmão, Pharmaceutical Engineering Supervisor.

With this premise, Ophthalmos, which operates a large number of equipment, machinery, and instruments, recognized the need for a tool that could provide notifications for maintenance and calibration deadlines, guide how actions should be performed, clarify the intervals between executed actions, and generate pending tasks for the responsible staff based on quality tools that differentiate priorities by color status.

In this way, investing in a software solution meant eliminating control spreadsheets that slowed down operations and posed the risk of systemic errors due to oversight.


How SoftExpert redefined maintenance management

Ophthalmos adopted SoftExpert Maintenance, a SoftExpert product for Asset Maintenance Management. The software handles all planning and control of maintenance activities for equipment and facilities, maximizing maintenance effectiveness and reducing associated costs. The tool enhances management capabilities across industrial, commercial, and service environments, fully supporting preventive, predictive, and corrective maintenance needs.

Additionally, SoftExpert Maintenance supports compliance with international standards such as ISO 9000 and ISO 14000, ensuring effective management of the Total Productive Maintenance (TPM) program.

“Among the list of benefits gained with SoftExpert Maintenance are the scheduling of maintenance across equipment, the generation of reports with economic projections and asset depreciation trends, and other functionalities many companies seek to resolve issues caused by the lack of scheduled maintenance actions," says Gusmão.

From need to outcome: the implementation journey

Gusmão highlights two challenges faced during the tool’s implementation: aligning Ophthalmos’ requirements with SoftExpert Maintenance and shifting the internal culture regarding preventive, predictive, and corrective maintenance, as this was not initially part of the organization’s workflow design.
To implement the system effectively, Gusmão coordinated the sector’s needs with Roberto Dragva, responsible for IT. After several meetings, they concluded that the SoftExpert Suite, already in use at Ophthalmos, would meet the needs highlighted by the Pharmaceutical Engineering and Maintenance department.

“Since we already had a knowledge base from operating other SoftExpert Suite modules, the implementation and adaptation of the Maintenance and Asset modules went smoothly and met planned expectations,” comments Dragva.

The first phase focused on understanding the needs of the Pharmaceutical Engineering and Industrial Maintenance department. The next phase involved mapping the controls applied across equipment and the resources they consume. This survey was conducted by employee Diego da Paz, who works directly with Ophthalmos’ assets, alongside Gusmão.

“SoftExpert Suite is effective in generating control results, provided it is properly fed. Additionally, the system allows for individual and/or collective identification of assets and resources, generating a complete history of performed actions,” says Paz.

Real impacts after adopting SoftExpert Maintenance

"Using a tool that generates reports, economic indicators, and makes actions traceable is equivalent to saying that everything is under control in the responsible department," says Gusmão.

At Ophthalmos, SoftExpert Maintenance is currently used by the Pharmaceutical Engineering department, but the specialist emphasizes that all areas are essential for the software to be fed with accurate information.

"These data are processed and cataloged so that, when purchasing supplies, no errors occur and unnecessary costs are avoided," he explains.

Kelly Renata de Jesus, one of the employees who uses the system most frequently, says SoftExpert Maintenance helped save time and reduce travel across the factory, where previously it was necessary to verify preventive maintenance needs on-site. She explains that the system generates actions days in advance, ensuring adequate time to request the necessary supplies.

According to Gusmão, specialists estimate that maintenance can account for up to 22% of a company’s fixed costs, directly impacting the unit cost of manufactured products. In terms of savings, the SoftExpert product eliminates unnecessary costs caused by numerical deviations in instruments.

"With SoftExpert Maintenance, we eliminated calibration delays, optimized preventive maintenance, improved asset and supply control, and consequently achieved less costly and more robust maintenance. This allows us to meet all quality standards while generating economic indicators," Gusmão points out.

The specialist adds that another significant gain was the consistency of results, a result of complete control over assets and supplies provided by the system.

"Among the list of benefits gained with SoftExpert Maintenance are the scheduling of maintenance across equipment, the generation of reports with economic projections and asset depreciation trends, and other features many companies seek to prevent problems caused by the lack of scheduled maintenance," he concludes.
