Pharmascience enhances document management with SoftExpert
The initial scenario
According to Technology Manager Gárgio Riveres, the company faced significant challenges related to document traceability and expiration control.
“We had inefficient routines with no clear oversight of document distribution or reviews, as well as copy management issues that led to duplication and unnecessary use of resources. In many cases, consultation was done using physical documents, which made it difficult to manage several procedures, including training activities,” Riveres explains.
The implementation strategy
To address these issues, the company adopted the SoftExpert Document and SoftExpert Training modules from SoftExpert Suite, a corporate platform designed to automate and improve processes, ensure regulatory compliance, and strengthen management excellence.
SoftExpert Document is an electronic document management tool that oversees the entire content lifecycle, from creation to archiving or disposal. SoftExpert Training supports the planning, execution, and effectiveness evaluation of training and qualification programs. The implementation was carried out by TNX Brasil, SoftExpert’s partner in the state of Minas Gerais.
The results achieved
Riveres states that the SoftExpert solution significantly improved process traceability, boosting productivity while saving time and resources.
“I have been with the company for 12 years, and documents used to be managed in parallel, decentralized spreadsheets. With the implementation of SoftExpert Suite, we achieved meaningful results such as faster processes, clear identification of documents without duplication, enhanced security in the review flow, and controlled printed copies, now marked as regulated copies, all centralized in a single system,” he highlights.
Riveres adds that SoftExpert Training also improved the company’s training management, making it easier to maintain links between documents, employees, and required training activities. The tool supports the company in meeting Anvisa’s regulatory requirements.
Looking ahead, Pharmascience plans to implement the SoftExpert Portfolio module to improve the management of new demands and incident control.
