The challenge

In daily operations, communication via email caused delays, missed deadlines, and rework. Without traceability, the IT team struggled to prioritize requests and track key metrics. The result was low productivity and difficulty keeping pace with the company’s growth.


The turning point with SoftExpert

When implementing the SAP B1 ERP system, Petrovina sought a platform that went beyond traditional helpdesk tools and ensured integrated process management.

“Although we previously used a helpdesk platform, it proved limited in functionality and management capabilities, making it impossible to gain visibility into workflows, analyze metrics, or identify bottlenecks,” explains Erica Gomes, Process Coordinator at Petrovina.

The choice of SoftExpert was driven by reliability, flexibility, and native integration with SAP. Hosted in the cloud, the solution now supports departments across IT, Finance, Accounting, Tax, Assets, and Legal.

“In addition to its proven integration with SAP, the user-friendly interface and broad customization options were decisive factors to ensure an implementation that met our specific needs,” adds Erica.

Petrovina adopted SoftExpert ESM (Enterprise Service Management) as the foundation of this transformation. The solution combines IT service management (ITSM) with corporate service management, helping the company overcome the limitations of its previous model. Based on globally recognized frameworks such as ITIL, the platform enhances the management of IT, HR, Finance, and Legal departments, promoting greater integration across areas, reducing communication silos, and continuously improving processes.

Results that speak for themselves

The new support process logged more than 200 requests in just 10 days, enabling detailed management by type, priority, and technical classification. The change brought real-time visibility for management, transparency for requesters, and allowed tracking of average response times by category and origin, overcoming the limitations of the previous model.
