Unimed Vitória is one of the 10 largest cooperatives in Brazil. It has 2,353 cooperative physicians and more than 2,400 employees, serving over 340,000 customers. It is the market leader in supplemental healthcare in Espírito Santo and has held Gold-level Accreditation from the ANS Health Operator Qualification Program since 2016.

Initial scenario
Unimed Vitória considered its document management process too manual, which led to nonconformities and the loss of important controls.
“We wanted a tool that would help us reduce failures and errors in these tasks,” says Heloisa Rodrigues Queiroz, Quality and Process Management Coordinator.
Strategy adopted
To address this challenge, the organization implemented SoftExpert QMS, with a strong focus on document management. The tool is part of the SoftExpert Suite, a management and compliance platform that brings together 38 natively integrated modules across 12 corporate solutions.

Results achieved
Unimed Vitória automated routines and increased operational efficiency with SoftExpert. Today, around 2,000 employees use the tool, which has been deployed in nearly every department.
“We automated the entire workflow for document creation, review, and approval, with real-time tracking of pending activities throughout the process. We also standardized the consensus flow used for validations,” Heloisa explains.
The implementation was carried out by TNX, SoftExpert’s commercial partner. The migration of approximately 4,000 documents into the system is following a carefully structured schedule designed to minimize impacts and avoid information loss. With the platform in place, the organization is already seeing fewer approval and validation gaps, along with the elimination of manual signature collection.
