The Brazilian Table Tennis Confederation (CBTM) is the official governing body responsible for organizing, promoting, and developing table tennis in Brazil. Affiliated with the International Table Tennis Federation (ITTF) and the Pan American Table Tennis Confederation (ITTF Americas), CBTM oversees national tournaments, sets technical guidelines, and represents Brazil in international competitions.

Headquartered in Rio de Janeiro, the organization plays a key role in developing athletes, referees, and coaches, while encouraging the growth of the sport across all regions of the country. In addition to managing the national competition calendar and development programs, CBTM works closely with state federations, clubs, and both public and private institutions to expand access to table tennis and strengthen Brazil’s presence on the global stage.

Inside sports management

Before implementing SoftExpert, CBTM - like many sports organizations - relied on management processes that couldn’t keep up with its growth and increasing demands for efficiency and transparency.

Eduardo Carreiro, CBTM’s strategy director, identified key opportunities for improvement through his experience in management and technology. Over 300 indicators, budgets, and projects were managed through tools like Excel, which eventually led to challenges such as version control issues, data loss risks, and limited process traceability.

Faced with these challenges, CBTM decided to invest in a solution that would deliver greater security, standardization, and efficiency, supporting continuous management improvement and strengthening its strategic role in Brazilian sports.

A strategic move: SoftExpert steps onto the court

Recognizing it was time to evolve, CBTM began searching for a technology partner to support its organizational transformation. The answer came with SoftExpert Suite, a comprehensive solution that could meet the confederation’s needs in an integrated and secure way.

Today, there are around 100 automated workflows, covering critical activities such as Payment Orders, Expense Reports, and Athlete Performance Reviews, with some processes involving up to 50 stages.

The SoftExpert Document component became the central hub for organization and traceability, allowing receipts and invoices to be attached directly to each process. This digitalization not only ensures data security during internal and external audits but also represents a major step forward in transparency and control within sports management.

“Everything is on the platform. When someone asks for a receipt or document, I simply show where it’s recorded and attached. Everyone already understands how important this level of traceability will be for the organization,” says Carreiro. This centralization and organization are essential for an institution that deals with the complexity of sports management and the need for transparency in reporting and accountability.

Precision and control: how well-orchestrated processes drive performance

SoftExpert Performance has become the backbone for tracking more than 300 indicators and goals, ranging from athlete rankings (by class and age) to financial metrics and absenteeism rates.

An ambitious goal—to increase the number of registered table tennis players from 9,000 to 22,000 by December 2028 - is closely monitored through the platform, demonstrating the power of technology in managing strategic objectives. Automatically generated reports are used in monthly executive committee meetings, promoting a data-driven culture of measurement and decision-making.

As Carreiro puts it:

“I’m ready for the meeting in just a few clicks.” 

Complex processes such as Athlete Performance Evaluation, which involves annual planning, monthly tracking, and 360° reports, are now fully modeled and automated.

The impact of technology on sports

The partnership between SoftExpert and CBTM has delivered tangible results across all areas of the confederation. Eliminating the risks associated with spreadsheet-based data brought invaluable security and reliability.

Information centralization, audit traceability, and improved decision-making through real-time metrics and reports have become the cornerstones of modern, efficient management.
