The Challenge
With the rapid expansion of its business and a structure comprising 22 branches and approximately 500 employees, Grupo Level faced growing challenges in managing its processes. The company dealt with an excessive volume of emails circulating within the Shared Services Center (CSC), indicating a lack of automation and standardization. According to Caio da Silva, the Group’s Process Leader, existing software solutions in the market were generally focused on specific needs, not offering the completeness and integration required to optimize workflows and eliminate bureaucracy, especially in the financial and HR areas.
The Solution
To address these challenges, Grupo Level chose and implemented SoftExpert HDM (Human Development Management), a robust web platform for human development management and integration of management systems. The choice of SoftExpert was due to the comprehensiveness of its suite, which stood out against other market options. The solution allowed for the creation of receipt and payment flows in the financial sector, and the automation of travel reimbursement, education aid, and vacation processes. These tools, working in an integrated manner, standardized tasks and improved the organization’s management, freeing up professionals to dedicate more time to strategic issues.
The Results
The implementation of SoftExpert HDM brought significant transformations for Grupo Level. In the financial sector, efficient receipt and payment flows were established, including a process to control fund receivables and automatic collections which, in just four months, resulted in the recovery of R$250k. Integration with the Protheus ERP automated the process of launching titles, which previously required about 10 hours/month. Furthermore, the solution optimized the travel reimbursement process, leading to a reduction of R$15k/year in expenses.
In HR management, the vacation scheduling workflow was integrated with the Senior system, allowing managers to schedule and consult in real-time, eliminating the use of Excel controls. With the visibility provided, the risk of non-compliance with deadlines was virtually eliminated, and vacation scheduling, which previously required 60 days’ notice, can now be done in up to 15 days.
